E-mails to forwarders

The forwarder knows before asking

The system writes to the forwarder at the key moments of a trip: briefly, in English, with an ETA calculated from the route, traffic and the driver’s working time. Below are the system’s real templates with sample data.

Screenshots from the demo version of the system: fictitious companies, drivers and trucks. It works the same way on real trips.

Plan confirmed by the driver

When the driver accepts the plan, the forwarder receives a confirmation with date, time and the GPS position at that moment, with a map link.

  • Proof that the driver has seen and accepted the plan
  • Position from the driver’s phone or the truck’s telematics
  • The name of the loading plan file it refers to

First ETA after loading

The first ETA goes out only after the last loading, marked “TO BE REVIEWED”. Before that nobody knows the real departure time.

  • Kilometres to destination
  • ETA including driver breaks and warehouse opening hours

Update after traffic hot spots

After passing critical places (Hamburg, Bremen, the Ruhr area, Antwerp, Copenhagen) the forwarder receives an updated ETA.

  • Just the new time and the reason, no counting of minutes
  • Further updates only on a real change

Reply to an ETA question

To “When will TL1003 be in Aarhus?” the system recognises the truck and the stop and replies in the same thread: where the truck is, how many kilometres are left and the ETA.

  • Reply in the thread within minutes
  • Traffic and driver breaks included
  • When the system is not sure, a draft waits for the office

Question about the next load

About an hour before the last unloading, when the truck has no next trip, the system asks the forwarder about the next load.

  • Once per trip, no hourly reminders
  • Quiet at night and at weekends
